Add Inventory Inputs to a Work Order

Select and input inventory into a Work Order using one of six form options tailored to your workflow.

Overview

This tutorial walks you through using each Inventory Input form so you can quickly add materials to a Work Order based on what information you have.


Before You Start

  • Make sure the inventory is available and not quarantined or committed to another Work Order

  • Have your product, lot, or SKU details ready


Step 1: Input Inventory Using the Standard Form

This form works best when you know the product and want flexibility to drill down.

  1. Inside your Work Order, hit Add Input and select Inventory

  2. Pick your Product—this will populate related fields

  3. If your product is in a batch, choose a Source Batch

  4. Enable Choose Source Lot to narrow it down to a Lot

  5. Enable Choose Source Inventory to choose an Inventory ID

  6. (Optional) Use Remaining Inventory to consume everything available

  7. Enter your desired Quantity, confirm the Inventory Unit

  8. Review the Amount Available, which updates dynamically

  9. Add a Timestamp, making sure it doesn’t predate the Work Order

  10. Click + Add to finalize the input

Pro Tip: Use “Remaining Inventory” if you want to clear out the item entirely.

Pro Tip: “Choose Source Inventory” is optional—use it to get more precise.

🗒️ Note: The Batch dropdown appears only when inventory exists in a batch for that product.

🗒️ Note: If “Source Batch” doesn’t appear, the product might not be tied to a batch—totally normal.


Step 2: Input Inventory Using Product & Vendor Filters

This form is great when you need to trace materials to a vendor or SKU.

  1. Click Add Input and pick By Product

  2. Select your Product

  3. Narrow it down with an optional SKU

  4. Choose the Vendor from the dropdown—or add a new one using the + button

  5. If available, select the Source Batch and Lot

  6. Choose the specific Inventory ID

  7. Input the Quantity and matching Inventory Unit

  8. Confirm the Amount Available

  9. Add a Timestamp and click + Add

Pro Tip: Using SKU + Vendor helps zero in on the exact source of a material.

🗒️ Note: Only inventory matching your filters will appear—adjust filters if you’re not seeing results.


Step 3: Input Inventory Starting from a Lot

This form is perfect when the Lot is already decided before Work Order execution.

  1. Select By Lot from the input menu

  2. Pick your Source Lot

  3. Enable Choose Source Inventory to unlock Inventory ID selection

  4. Select the specific Inventory ID

  5. (Optional) Toggle Use Remaining Inventory to consume the full amount

  6. Input your Quantity and match the Inventory Unit

  7. Check the Amount Available

  8. Add the Timestamp, then click + Add

Pro Tip: When inventory is tied to a specific lot, this form saves clicks and filters directly.

🗒️ Note: This form only surfaces inventory tied to the selected lot—adjust filters if needed.


Step 4: Input Inventory by ID

This form is best for workflows where you've already identified the specific inventory item you want to use.

  1. Open the Work Order → click Add Input → select By ID

  2. Select the Inventory ID from the dropdown

  3. (Optional) Use the Remaining Inventory toggle if you’re consuming it all

  4. Type the Quantity and confirm the Inventory Unit

  5. Review the system-generated Amount Available

  6. Apply the Timestamp and save the input

Pro Tip: Fastest option when your inventory is pre-picked or staged for use.

🗒️ Note: The form only accepts active, unallocated Inventory IDs with remaining stock.


Step 5: Input Inventory Using a Location

Use this form when the location of the inventory is known and it’s easier to filter from there.

  1. From the input dropdown, select By Location

  2. Pick a Location (e.g., Processing Room 1)

  3. Select the Product

  4. If shown, choose a Source Batch

  5. Enable Choose Source Lot and select the Lot

  6. Enable Choose Source Inventory to unlock Inventory ID

  7. (Optional) Use Remaining Inventory to auto-fill

  8. Type in the Quantity and confirm the Inventory Unit

  9. Check the Amount Available

  10. Add the Timestamp and click + Add

Pro Tip: Best used when your team stages inventory by room or zone for easy input.

🗒️ Note: Batch selection is only required when batch-tracked inventory is detected.


Step 6: Input Inventory Starting with a SKU

This form is designed for workflows where SKUs guide how materials are tracked and sourced.

  1. Select By SKU under Add Input

  2. Choose the SKU you’re working with

  3. Confirm or adjust the linked Product

  4. If shown, choose a Source Batch

  5. Enable Choose Source Lot and select the correct Lot

  6. Enable Choose Source Inventory to pick an Inventory ID

  7. (Optional) Use Remaining Inventory if consuming the full quantity

  8. Enter the Quantity and validate the Inventory Unit

  9. Check the Amount Available, then set the Timestamp

  10. Click + Add to complete

Pro Tip: Great for facilities that structure inventory intake and fulfillment by SKU.

🗒️ Note: Batch and Lot fields will only show if applicable to the selected SKU and product.


Troubleshooting

  • Problem: I can't find the inventory I'm looking for

    • Fix: Confirm the item hasn’t already been added to another Work Order, and ensure it’s not quarantined or archived.

  • Problem: The batch or lot field isn’t appearing

    • Fix: Some products don’t require batches—fields will appear only when needed.

  • Problem: I entered incorrect input details

    • Fix: Delete the entry and go back to the Work Order to start over.
